About the Job
The Event Coordinator role is responsible for assisting with the planning and execution of company events and trade shows. Key responsibilities include coordinating logistics, managing event timelines, and ensuring smooth on-site operations. This position plays a critical part in delivering well-organized, engaging, and successful events that support company goals.
Responsibilities:
- Own assigned events and sponsorship activations from planning through post-event follow-up, ensuring they are prepared, communicated, and executed successfully.
- Develop and maintain event plans, timelines, budgets, calendars, and supporting materials, including briefs, presentations, and run-of-show documents.
- Serve as the primary point of contact for assigned events, keeping internal and external stakeholders aligned on responsibilities, expectations, risks, and progress.
- Proactively monitor event readiness, resolve issues, and escalate risks as needed to keep programs on track.
- Travel as needed to lead on-site execution, including setup, registration, booth management, vendor coordination, and attendee engagement.
- Support event goals related to lead capture, pipeline influence, attendee satisfaction, and brand visibility.
- Coordinate post-event lead management in HubSpot, evaluate performance, and recommend improvements for future events.
- Perform other duties as assigned.
Qualifications:
- Strong organizational and project management skills.
- Ability to balance multiple workstreams simultaneously, with high attention to detail.
- Proficiency in Google applications and experience working in technology tools such as Zoom and Slack. Natural comfort level and eagerness to learn new applications and systems.
- Ability to follow verbal and written instructions and carry out all tasks assigned in a timely manner in a deadline-driven environment with multiple changes to the event schedule.
- Willingness to travel as part of the role and flexibly work evenings and weekends as needed.
- Excellent written and verbal communication.
- Ability to remain calm and professional under pressure.
- Team-oriented with a positive and personable attitude.
- Ability to lift up to 25 lbs and stand on feet for extended periods of time during the event.
